Are you planning a presentation via Webex? If so, please note the following steps:

  • If you are planning to present via Webex Meetings or Webex Events, please make sure to download and install the local app on your device first. Using the local app allows you to work much more smoothly than using Webex via your browser.

  • Please make sure that the security settings of your operating system/your device allow Webex to access the camera and audio system and allow it to access/share the screen.

  • Please make sure that you have a reliable WLan connection. Position yourself near the router or, if possible, use a LAN, DSL or Ethernet cable.
    Experience has shown that Webex has difficulties with transmission, especially with high numbers of participants and with participants outside Europe. If you have problems with the transmission quality, switch off your video and ask the participants to turn off their videos as well to reduce online traffic.

  • Do a test presentation! This allows you to check whether you can share and operate your presentation via PowerPoint, PDF or any other tool via Webex. You can also test your sound and video quality.
    Note that if you want to share a video, you will need to follow additional steps and download an application first.

  • In any case, send the presentation material to the host of the meeting. This ensures that they can supervise/share your presentation immediately (share/skip) if technical issues arise on your part.

Are you planning to attend a Webex Meeting or Webex Event as a guest?

  • You can download/install the Webex application OR attend a meeting with your browser. Please note that installing the Webex application allows it to work much more smoothly than accessing it via your browser.
    In some cases, problems can occur depending on the browser you use! In that case, leave the meeting and open the meeting link again with a different browser.

  • Please make sure to mute yourself! An overview on the buttons and functions of Webex can be found here.
    Also, please consider to familiarise yourself with the other functions of the tool and where to find them (chat / attendants / camera & audio / layout options / raise your hand).

Webex installation (IOS)

  1. Open following link in your browser to access the download file: https://fu-berlin.webex.com

  2. Select download and then open to begin download

  3. Start the installation by double-clicking the file Cisco Webex Meeting.pkg

  4. Please note that you will need admin rights to install Webex on your device

  5. Follow the instructions on your screen

  6. Once the installation is complete, your Webex desktop application will launch automatically

  7. In order to log in, you will either have to enter your primary FU email address or select the option “use as guest”

    Note: If you do not have an FU Webex account, click on "Use as guest" and enter the session link or session number and password. You will be taken directly to the Webex session.

Webex installation (Windows)

  1. Open the following link in your browser to access the download file: https://fu-berlin.webex.com

  2. Select “download” and then “save” to begin download

  3. If the file does not open automatically after the download is complete, select it from your browser’s download registry (Ctrl+J)

  4. Your browser might ask you to confirm a security advice to start the installation. Confirm with “OK”

  5. Please note that you will need admin rights to install Webex on your device.

  6. Follow the instructions of the installation wizard 

  7. Once the installation is complete, your Webex desktop application will launch automatically

  8. In order to log in, you will either have to enter your primary FU email address or select the option “use as guest”

    Note: If you do not have an FU Webex account, click on "Use as guest" and enter the session link or session number and password. You will be taken directly to the Webex session.

Open Webex in Browser

The Webex Meetings web app lets you join meetings, events, and training sessions, using only your web browser (it doesn’t support Opera). There's nothing to download or install. The web app puts basic meeting, event, or training functionality at your fingertips, making it easy to view and interact with others.

  1. When joining from an email invitation, click the green Join meeting button in the email invitation 

  2. In the new browser window that opens, click Join from your browser if you're joining a meeting from Mac or Windows.If you're using Linux or ChromeOS, the web app opens directly after you click Join meeting

Under the main video window is a set of icons (see screenshot 1):

  • Mic: Mute and unmute your microphone
    No one wants to hear background noise in a Webex call or meeting. You can mute yourself so that everyone can concentrate on what's being discussed. While you're on a call or in a meeting, select Mute botton at the bottom of the meeting window (see screenshot). You'll know it's working when the button turns red. If it’s green you are not muted. If you want to unmute yourself, select Unmute. The button then will switch from red to green.

  • Video: Turn your video on and off

  • Share Screen: Click here to choose any application you have open and share that screen in place of video from your camera (find our detailed tutorial on screen sharing here).

  • Participants: Brings up the participant list
    While in a meeting, select the Participants Panel from the Main Icon Bar to find out who has joined the meeting (see screenshot 1). You can quickly see who's joined the meeting regardless of whether they've joined from the Webex app, from the Cisco Webex Meetings app, or from a video device. You can even see what they're up to during the meeting, such as who's muted and who's sharing their screen (see screenshot 2). 

  • Raising your hand: Hover over your name in the Participants Panel and click the hand icon to raise your hand (see screenshot 3). To lower your hand, click Lower hand next to your name in the Participants panel.

  • Chat: Opens a chat window
    To send a chat message, open the Chat panel (see screenshot 1): In the Send to or To drop-down list, select the recipient of the message. Enter your message in the chat text box, then press Enter on your keyboard.

  • Leave: Exit the meeting

In version 41.4 and later of Cisco Webex Meetings you have several ways that you can set and customize your video layout. Your video layout options depend on the device you use to connect to the meeting or event, how many people attend, and whether or not anyone shares content. There are advantages to using each of the available video layout options and you can customize your layout at any time.

Video Layout Settings

There are ways you can customize your layout that can help you better keep track of what's going on in your meeting or event. Want to make sure you know everyone's name? Set them to always appear. Want to see only those who share their video? Hide anyone who doesn't share their video.

Switch your Video Layout View

There are different video layout views that you can use to focus on the content that's important to you. The device you used to join the meeting determines which of the views you can choose. When you use the Webex Meetings desktop or web app, you can choose from the following views:

  • Grid view—Useful when you want to divide your attention across a lot of speakers in a large meeting.

  • Stack view—Useful when you want to see other participants appear above the active speaker or shared content.

  • Side by side view—Useful when you want to see participants appear next to the active speaker or shared content.

  • Full-screen view—Useful when you want to float panels and scale them freely, or drag them to another monitor.

Stage Views

The stage is a customizable area that allows you to focus on the content in a meeting or event that matters to you. By default, the stage shows the active speaker or shared content. Up to six other participants appear outside in the filmstrip. The stage is available when you select Stack view or Side by side view from the Layout menu in the desktop or web app (see screenshot 2 for Stage views, screenshot 1 for Layout menu).
